Overview

This position of Project Assistant provides support to Interstates projects/contracts through working alongside Project Managers, Team Leads and E&I Managers. The Project Assistant aids in the planning, execution, and documentation of projects, contracts, and offerings.

Responsibilities

  • Create and monitor schedules for all project/contract activities through collaboration with managers and delivery leaders.
  • Updates to schedules and monitor project, job, or contract progress
  • Creation, turnover, and filing of turnover documentation for service jobs.
  • Set up standard project, job, or contract schedules through creating and utilizing templates and major project milestones.
  • Develop Request purchase orders and monitor shipments.
  • Develop project or contract reports by working with various departments and reporting tools.
  • Systems expert Knowledgeable in project management and planning software.
  • Create and prepare estimate directories as needed
  • Prepare subcontracts as needed and assist in the monitoring of them.
  • Provide required information gathering for the team as needed.
  • Assist in assembling project change orders and track the status of change orders.
  • Prepare outlined proposal letters and rough draft pricing templates
  • Resource support -- assist with providing accurate data needed for hiring triggers & business development opportunities
  • Strategic Initiatives: Assist leaders with organizing and supporting organizational initiatives.
  • Assist in taking meeting notes, assigning action items, and posting notes in appropriate places
  • Possible Project Delivery responsibility for smaller project, jobs, or contracts
  • Assist with scheduling new hire orientation
  • Assist with travel requests and expense reports
  • Assist with following up with clients on billings
  • Make sure the client is being kept informed of project/contract status, incident management and report any client issues to leaders. This would include the preparation of project/contract status reports.
  • Other duties may be assigned.


Qualifications

EDUCATION and/or EXPERIENCE: Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience

TRAVEL REQUIREMENTS: Travel may be required but would be very limited. Actual requirements will be determined by project needs.
