RP is seeking a Program Assistant to support USAID's Bureau for Policy, Planning and Learning (PPL), which develops policies and strategies that guide and help USAID achieve their worldwide mission to end extreme poverty and help develop democratic societies

In this role, you will be responsible for serving as the primary Correspondence Control Contact (CCC), maintaining and coordinating the clearance process for PPL and providing some administrative support to projects organized out of the Front Office of PPL. As such, you will be responsible for shepherding all internal and external clearance documents through PPL and on to the Office of the Administrator and the Executive Secretariat (ES). In doing so, you will develop an exceptional knowledge for the work the entire Agency does, since you will facilitate both the timely drafting of content and ensure quality control. You will gain a strong sense of each of PPL's offices and what they do, build a network with other CCCs and the ES, and manage processes to ensure the seamless flow of critical Agency documents.

Responsibilities:

  • Provides direct administrative support to the Director and Deputy Director, which includes strategic calendar management and scheduling, preparation and compilation of meeting materials, providing logistical support for meetings, and any other administrative support requested by the principals, within reason.
  • Edits and drafts correspondence, recommendations, reports, and memoranda related to the work of the Office of Policy Implementation Assessments (PIA)
  • Performs research, analysis, and writes short reports on topics relating to existing or planned programs.
  • Performs notetaking, drafting, and circulation of meeting minutes.
  • Coordinates PLR responses to requests from the PLR Front Office and other Bureaus
  • Ensures all briefers and clearances are complete and submitted in a timely fashion.
  • Performs outreach and communication with internal and external stakeholders both orally and in writing.
  • Supports staff in communications with persons and groups from both within and outside USAID in written correspondence.
  • Reviews, tasks, and tracks a variety of technical documents.
  • Manages a shared, organized electronic filing system.
  • Applies administrative policies, maintains various systems and databases, and handles other staff requirements.
  • Completes travel authorization processes for office principals, including clearances, country travel concurrences, securing visas, and voucher preparations, as needed and provides advice on travel procedures for other office staff.
  • Performs and monitors administrative requirements such as payroll, time and attendance records, and deadline tracking systems.
  • Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided.
  • Coordinates with other USAID bureaus when tasks require a collaborative response.
  • Other duties and special activities as assigned.

  • US Citizenship required.
  • Bachelor's degree
  • 2 or more years of experience working in a related position.
  • Active Secret Clearance
