About the Job

Position Overview

The working title of this position is Curriculum and University Operations Administrator.

The Curriculum and University Operations Administrator (Admin Associate 2, 8208A2) is a 100% FTE University employee positioned in the Center for Advanced Studies in Child Welfare (CASCW) at the School of Social Work. CASCW has joined the Minnesota Department of Human Services (DHS) in a joint project to co-create and operate the Minnesota Child Welfare Training Academy (MNCWTA). This position will work closely with the Minnesota Department of Human Services (DHS) to support the continued development of the Minnesota Child Welfare Training Academy to facilitate the day-to-day operations of the training/curriculum including supporting recruitment, communication, planning, scheduling, and tracking expenses. This position requires strong communication and relationship-building skills to coordinate with DHS in the ongoing development and implementation of the Training Academy. The Administrative
Associate 2 also supervises around 40 Temp Casual employees who work as trainers or curriculum developers within the Training Academy.

This position reports to Lolita Johnson, Curriculum Supervisor, and will be located off-campus at the Minnesota Child Welfare Training Academy, which is two miles north of the St. Paul Campus.

This position is fully funded by sponsored funds. The budgeted salary range for this position is $50,466-$67,288. Final salary offers are dependent on the candidate's experience, skills, and internal equity within the department.

Job Responsibilities

Curriculum Development Support (40%)

  • Manage the full process for curriculum update request process communication with the requestor, making the update (in coordination with DHS policies), and communicating the update to Trainer Lead.
  • Support the Curriculum Development Team with administrative tasks (scheduling, coordinating with Subject Matter Experts, review and organizing curricula, copy edits, taking meeting notes, project coordination
  • Attend all curriculum meetings to stay up to date with the team activities.
  • Manage curriculum files, resources, and access in Google Drive and communicate changes to the team.
  • Manage the payment process for external and internal Curriculum Subject Matter Experts (SMEs), in coordination with the CASCW finance lead.

Community Trainer/Developer Support (40%)

  • Develop and maintain temp/casual appointment records, in partnership with SSW.
  • Monitor spending in accordance with the budget; detail spending trends and habits to prepare for hiring trainers and curriculum developers, in addition to ensuring stakeholder needs are met throughout the year.
  • Prepare quarterly budget and financial reports for the JPA to ensure fiscal responsibility across the contract year.
  • Manage, monitor, and approve the time and travel expenses, following Chrome River and University policies, of all community trainers within the training collaboration, providing support and training to community trainers as needed.
  • Maintain policy manuals and materials for trainers/curriculum, in collaboration with DHS Training Team.
  • Develop and implement administrative initiatives, processes, and workflows to align with University policies and procedures, communicate, and monitor processes and workflow to community trainers.
  • Build and maintain relationships with community trainers, curriculum developers, and content experts.
  • Provide additional support as needed for community trainers and curriculum developers.

HR Support (15%)

  • Serve as the Training Academy contact for human resources-related matters. Partner with the CASCW, SSW and CEHD HR office to resolve personnel issues and manage HR processes for all Academy staff.
  • Lead the regular hiring process by establishing job descriptions and selection criteria for Academy positions (staff, GRAs, community trainers/developers), managing the external job advertisements, and gathering and securely storing search materials.
  • Work with the School of Social Work (SSW) HR Liaison to initiate and administer the UMN online recruitment process, communicating with HR and Compensation, and creating and closing requisitions and job postings.
  • Serve as a resource for employees and students regarding benefits, leaves, payroll, time/absence, and general human resource related issues and questions. Escalate questions to the appropriate department administrator and CEHD HR team member on complex questions or policy interpretations.
  • Lead the hiring process and onboarding to the Academy, in coordination with CASCW, SSW, and CEHD HR by assisting Academy supervisors with initial review of applicants, Spark coordination, and communicating with applicants.
  • Manage and analyze processes, materials, and trainings necessary for effective and efficient on- and offboarding (utilizing the Academy
    checklists) for all Academy employees hired as community trainers and curriculum developers and staff.
  • Manage the UMN requirements for DHS hires, including Spark interviewing and POI set up (UMN email) and extensions.

General Administration (5%)

  • Manage Academy staff documents, such as directory, StrengthsFinder chart, etc for all staff to reference.
  • Serve as UMN Google Drive manager for the Academy files.
  • Manage the listservs for all staff categories at the Academy.
  • Develop processes and policies for the Training Academy.
  • Manage the UMN and DHS holiday calendar and communicate differences to staff.
  • Attend monthly Academy All Staff meetings.
  • Attend CASCW and SSW team meetings.
  • Participate in weekly supervision.
  • Participate in other meetings and/or activities as assigned.
Qualifications

Required Qualifications

  • BA/BS degree with at least two years of related experience or a combination of education and related work experience equal to six years
  • Demonstrated relational skills, involving collaboration, teamwork, and consultation
  • Consistent communication skills, both written and verbal
  • Experience working independently using strong organizational skills, including managing multiple tasks effectively and keeping track of deadlines
  • Established commitment to diversity and cross-cultural communication
  • Proven problem solving skills
  • Ability to collaborate effectively with people from a variety of communities, backgrounds, and identities

Preferred Qualifications

  • Four years of experience in coordination of substantive project or program in higher education
  • Familiarity with UMN systems, operations, and human resource policies
  • Experience working with budgets and contracts
  • Experience in program coordination and leadership
  • Familiarity with child welfare
  • Experience with Google Workspace (Google Drive/Shared Drives)
