Front Desk Receptionist & Office Manager

Position Overview: As the Front Desk Receptionist and Office Manager, you will be the first point of contact for our company, providing excellent customer service to all visitors and employees. In addition to traditional front desk duties, you will take on responsibilities related to office management, event coordination, mailroom supervision, and supply management. This role requires a proactive and detail-oriented individual who thrives in a fast-paced environment and enjoys multitasking.

Location: this is an onsite position at our Mendota Heights, MN office.

Key Responsibilities:

Front Desk Reception:

  • Greet and welcome visitors with professionalism and a friendly demeanor.
  • Manage incoming calls, transferring them appropriately or taking messages as necessary.
  • Maintain a tidy and organized reception area.

Office Management:

  • Oversee office cleanliness, including coordinating with cleaning staff and managing office supplies.
  • Manage office equipment and liaise with vendors for repairs and maintenance.
  • Assist in space planning and coordinating office moves or space configurations.
  • Handle administrative tasks such as filing, scanning, and data entry.
  • Manage fleet documentation (lease, insurance documentation, etc.)

Event Coordination:

  • Assist in planning and coordinating on-site meetings and events, including setting up conference rooms and arranging catering.
  • Collaborate with various departments to ensure smooth execution of events.
  • Provide logistical support for off-site meetings and conferences.

Mailroom and Supplies Management:

  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain inventory of office and kitchen supplies, ordering as needed to ensure adequate stock levels.
  • Monitor and reconcile office supply expenses within budget guidelines.

Employee and Candidate Travel Coordination:

  • Assist in coordinating travel arrangements for employees and candidates, including booking flights, hotels, and transportation.
  • Ensure travel itineraries are communicated effectively and all necessary arrangements are made in advance.
  • Handle travel-related expense reports and reimbursements, as appropriate.

Qualifications:

  • Proven experience in a receptionist or administrative role, preferably with additional responsibilities in office management.
  • Excellent communication and interpersonal skills, with a customer-centric approach.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office suite and experience with office management software (e.g., MS Office).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent; additional qualifications in office administration or related field preferred.
