About the Job

The purpose of this position is to complete time sensitive special projects that improve the administration of student services in the School of Physics and Astronomy. This position requires a high level of data analysis and statistics expertise, as well as the ability to apply data results to improve administrative processes and workflows. This job has two distinct parts - Administrative Support and Special Projects.

Job Duties
Administrative Support 30%
Front desk coverage: answer questions from students, faculty, and the general public within scope of work via various modalities including in-person, via email, and via phone. Co-manage physics inbox in partnership with Office Manager.
Test administration: print, prepare, and scan exams and quizzes for intro-level Physics classes.
Work two conferences this summer including: daily setup and teardown of materials and furniture, food and beverage set up, event marketing support, and general event hosting socialization.

Special Projects 70%
Test administration process improvement - involves meeting with peer departments alongside the Academic Programs Director to adopt and adapt processes to increase efficiency and accuracy in test administration.
Work with Graduate Program Coordinator and Academic Programs Director to streamline and simplify the TA assignment process.
Create and implement sustainable office organization and systematization of product ordering workflow in partnership with Office Manager.
Coursework data analysis project for Physics faculty.
Digitization of historical Physics department documents and organization of sub basement storage areas.
Other duties of similar scope as assigned.

Qualifications

Required Qualifications
BS degree in STEM field
Data analysis and statistics expertise
Strong attention to detail
Excellent written and verbal communication skills
Ability to maintain a high level of confidentiality in working with student data

Preferred Qualifications
Experience working in the School of Physics and Astronomy front office
Advanced proficiency in Excel and Google suite
Industrious attitude and ability to see opportunity in challenges
