Job Description

Ryan Companies US, Inc. has an immediate career opportunity for an Executive Assistant with our team in Westmont!

Some things you can expect to do:

  • Provide executive level administrative support to members of the Mission Critical team
  • Proactively manage calendars, emails, calls, and other correspondence for leaders, including scheduling meetings, creating materials and compiling monthly reports
  • Act as liaison between a Project Manager, Superintendent and subcontractors or other members of the team
  • Manage subcontractor insurance and registration process and project-specific invoicing
  • Maintain and create close working relationships with senior executives, organizational peers, and staff members, both internally and externally

To be successful in this role, experience providing high-level administrative support in a rapidly changing work environment is required. You must have very strong attention to detail & accuracy and exceptional organizational skills.

You really will stand out if you:

  • Are proficient with entire Microsoft Office Suit (Word, Outlook, Excel, PowerPoint) and can quickly become fluent with new technologies
  • Have strong customer service skills, along with both verbal and written communications skills
  • Have experience in a construction environment and with accounting software systems
  • Are self-motivated and can work well in a team environment
  • Bring a demonstrated track record of handling confidential information appropriately
  • Excel at developing and maintaining excellent working relationships with others
  • Resolve issues effectively and demonstrate sound judgement in decision-making
  • Are a learner, open, honest, and collaborative
