University Advancement (UA) supports the entire CMU community in building relationships with key constituencies and securing the financial resources the university needs to continue its ascent. As the division grows, we are seeking a director, Gift Administration. This is an exciting opportunity if you thrive in an interesting and fast-paced work environment.
Reporting to the executive director, Advancement Records Administration, you will supervise a group of specialists who are responsible for the entry, administration, and receipting of gifts and gift pledges for the University. You will be responsible for the accuracy and integrity of the gift data entered into University Advancement's databases, and should be passionate about delivering a high level of customer service while ensuring attention to detail. You will create and review departmental process guidelines and participate in the review of divisional processes pertaining to gift and pledge recording and entry, as well as assist with the monthly reconciliation of gifts and pledges. You will also interface with various individuals and teams both within and outside of the division to provide support and encourage strong relationships. You will demonstrate an in-depth knowledge of fundraising principles including IRS, CASE, gift processing best practices, accounting principles, university policies and regulatory and compliance rules. You will also demonstrate responsibility and ensure that departmental goals and deadlines are met.

Your core responsibilities will include:

  • Providing day-to-day training and oversight of team members and ensuring the timely and accurate completion of daily gift entry activities. Leading, coaching, and evaluating the performance of direct reports.
  • Reviewing the status of gifts and pledges in suspense and working with the team to ensure they are current and actively managed.
  • Monitoring the status of funds to determine if accounting strings need to be requested. Working with Fund Management team to request new accounts and updating Advancement's chart of accounts.
  • Participating in regular meetings with Finance and monthly reconciliations with University Advancement's business manager to ensure accurate accounting.
  • Reviewing and creating accurate procedure documentation.
  • Involving and advising business managers and departments on gift accounting procedures, including handling of checks, deposits, fundraising activities and web giving.
  • Participating in meetings and providing input regarding gift and pledge entry and reporting.
  • Assisting in developing gift accounting processes to better meet current and future needs.
  • Creating new audit processes to ensure accuracy.
  • Managing the notification, processing, and reporting of complex pledges and gifts.
  • Participating in database conversations related to gift accounting and participating in other Advancement Services and University Events as needed.
  • Other duties as assigned.

You should be able to travel domestically and be willing to work outside of normal business hours as needed.

Qualifications

  • A bachelor's degree is required.
  • Seven to ten years of experience in a gift administration and/or accounting setting.
  • Previous management experience required.
  • Proficient knowledge of IRS gift rules and regulations. Knowledge of principles of fundraising and accounting.
  • Demonstrated understanding and interest in all aspects of education and a dedication to promoting the university's fundraising priorities.
  • Customer service oriented.
  • Advanced proficiency with Microsoft Office applications and development databases.
