Your Role

Gensler is seeking an Asset Management Administrator to join our Co-CEO Finance Studio onsite in our trendy Dallas office. This position will work closely with the Regional Technology and Finance departments cataloging and maintaining records for Technology hardware, software and contract services.

What You Will Do

Purchasing

  • Work with internal customers and external vendors to conduct research, request pricing, prepare bids / pricing, prepare Purchase Orders, track orders, mark orders as received and respond to billing inquires.

  • Follow predetermined strategies and procedures that will result in cost savings, improved service levels and effective inventory management.

  • File invoices for historical data.

  • Perform maintenance of the purchasing system

  • Discuss prices, delivery, quality, issue resolution, lead-time, escalation and term/conditions with vendors.

  • Assist internal customers in research, quoting and procurement of software and hardware.

  • Assist internal customers to resolve problems with contracted suppliers and ensure that long term solutions are implemented.

  • Collect and create supplier metrics to allow for annual supplier reviews.

  • Review and respond to requisitions.

  • Confer with vendors to obtain product or service information such as inventory and serial number history.

  • Recommend products for purchase by researching or reviewing items.

  • Maintains procurement and asset records such as items or services purchased costs, delivery, product quality, performance, and inventory.

Asset Management

  • Maintain requirements, project scope, evaluate existing SNOW database, and if applicable recommend product and vendor, maintain asset management system for Technology from requisition through retirement.

  • Enters and updates appropriate Inventory tracking information.

  • Maintain inventory controls including overseeing contracts, licensing, assets and leases.

  • Monitor compliance with software licensing terms & agreements.

  • Responsible for annual hardware physical inventory audits.

  • Assist in performing plans for donating, recycling or otherwise selling obsolete equipment including, tracking equipment available for donation, scheduling collection of equipment and ensuring charitable donations are documented.

  • Responsible for sharing best asset management practices with internal customers.

  • Collaborate with Finance team on asset management methods and processes to ensure that our financial records are complete and accurate.

Your Qualifications

  • BA, preferably in supply chain, IT, accounting/finance, business, or related field plus experience in technology purchasing a plus

  • Ability to produce timely deliverables and manage multiple and shifting priorities in a dynamic environment

  • Ability to work independently, navigate and maintain productivity in a matrix environment

  • Excellent communication skills (verbal and written) required

  • Demonstrable strategic thinking, influencing, problem solving and decision making skills

  • Strong customer service orientation, a team player with the ability to establish collaborative working relationships

  • Microsoft Office proficiency
