YOUR DAY TO DAY LIFE

We are looking for a Administrative Assistant in 11585 K-Tel Dr, Minnetonka, MN 55343 USA. Your mission will be to:

Purpose (Objective):

The incumbent is responsible for performing administrative support for assigned functions, including filing, processing reports, receiving visitors and answering phones.

Main activities:

* Provide administrative support to assigned functions within the lab.

* Produce written correspondence utilizing a combination of spreadsheets and other data.

* Receive, screen, and direct incoming telephone calls and visitors for assigned personnel and serve as a resource for client and company inquiries.

* Fulfill requests for information from clients and internal customers via timely and appropriate means.

* Maintain and update manual filing and storage systems to ensure timely document retrieval.

* Take minutes of meetings and distribute results as needed.

* Make necessary meeting and travel arrangements for company personnel.

* Assist other administrative support staff during breaks and vacation.

* Support corporate quality and continuous improvement process.

* This position has the responsibilities and authority to identify departures from the quality system or test procedures and document such observations in accordance with the prescribed complaint system.

* Perform other related duties as needed.

At any time, the incumbent must behave and operate in an ethical and Code of Conduct compliant manner.

Communication:

Internal Interlocutors: Regular contact with company personnel is necessary to coordinate switchboard relief, visitors and other administrative functions.

External Interlocutors: The incumbent may have daily contact with clients and vendors to provide and obtain information from them regarding their product.


YOUR PROFILE

Knowledge:

Profile: Experience in an office environment is a plus. High School Diploma or equivalent required.

Required skills:

* This position requires thorough knowledge of word processing to produce documents for the facility.

* A thorough knowledge of spreadsheet software is necessary to enter data and information retrieval.

* A general level of accounting is necessary to maintain client accounts and to process invoices and other paperwork.

* General written communication skills are needed for proofreading and letter writing tasks.

* General knowledge of office machines such as photocopiers and fax are needed for regular usage and aiding other personnel.

* A basic knowledge of food science and laboratory practices would be helpful to address questions and produce accurate reports.

* Time management and planning skills are helpful to accomplish tasks within set time constraints.

* Client relation skills are necessary for extensive communications with clients

Management::

This position may require the supervision and direction of other support staff.

Work Environment:

The incumbent works in an environment with proper lighting and temperature controls. Occasional lifting of heavy boxes of paper, packages to be mailed, and equipment supplies weighing up to 30 pounds is necessary to perform related responsibilities. Physical dexterity is necessary to effectively manipulate a keyboard. The incumbent can expect extended time spent in a sitting position.

Schedule: Monday - Friday 9AM - 530PM

Pay: $20/hr (concrete)
