About the Job

The Administrative and Accessibility Manager is supervised by faculty member, Dr. Myers, at the Humphrey School of Public Affairs and provides high-level comprehensive support to enhance the overall mission critical efforts of Humphrey School.

The position works to ensure faculty receives timely, effective, and understandable communication. The position also provides a high level of administrative support in the Wilkins Center at the Humphrey School. The key responsibilities are supporting research, outreach, project management, and administration to a deaf faculty member. This is a hybrid position, meaning that it can be done remotely but that some tasks require in-person attendance in and outside of the Humphrey School.


50% Accessibility Coordination:

  • Communicates with third-party captioning providers to schedule services and ensure accessibility of all relevant events.
  • Maintains faculty calendar (Google Calendar) and travel schedule to ensure access for all classes, meetings, conferences, and events. Schedules meetings in Google Calendar as appropriate within schedule.
  • Makes phone calls on behalf of the faculty member in clear, professional English.
  • As needed, notifies captioners of specific vocabulary (i.e., terms, names) and provides relevant materials (i.e., scripts, agendas); attends meetings of faculty member to assist in note-taking and transcription of speakers, especially in regard to names and discipline-specific terms.
  • As needed, provides onsite management and troubleshooting for conferencing and captioning related technology.
  • As needed, provides oral/text interpreting with close attention to clear diction to facilitate speech-reading.
  • Attends in-person events to provide logistical support for captioning and web conferencing.

40% Roy Wilkins Administrator:

  • Is responsible for all email communication for Wilkins Center, as received directly and forwarded by faculty.
  • Coordinates and attends meetings and events for Wilkins Center; responsible for oversight of food, logistics, guest, invites, AV.
  • Prepares meeting agendas; attend all relevant meetings.
  • Prepares budget, financial, and/or grants reports for the Wilkins Center. Reviews, approves, and processes financial transactions, and oversees financial reporting. Coordinates and attends budget meetings with faculty and Financial Services on a monthly basis.
  • Manages overall office facilities and leads projects to implement space and equipment changes.

10% Executive Administration Support, includes but not limited to:

  • Maintains faculty memberships; coordinates faculty member conference schedule and events.
  • Communicates with research assistants (undergraduate and graduate) and staff.
  • Works with HR for posting of jobs, including work-study, RA and TA positions.
  • Maintains confidential files for all letters of recommendation, tenure-reviews, graduate admissions and job inquiries from current and former students, staff and collaborators. Assures that deadlines are met. Prepares initial drafts of letters of recommendations using template provided by faculty.
  • Coordinates projects and timelines..

Salary Range: $55,000.00 - $65,000.00

Qualifications

Required Qualifications:

  • BA/BS and at least two (2) years' experience in program, project and event management or executive assistantship, or a combination of related education and work experience to equal six (6) years.
  • Ability to work evenings and weekends on occasion; regular and efficient access to transportation to attend in-person meetings, programs and events.
  • Demonstrated/documented evidence of strong oral and written communication skills, and the ability to communicate effectively and professionally with diverse populations of academic, business, and community constituents.
  • Experience with Microsoft Office, Google Suite, and Google Calendar.
  • Demonstrated strong attention to detail.
  • Ability to multi-task priorities, be highly productive, meet deadlines, and work well under pressure.
  • Excellent facilitation skills; ability to listen, adapt and work through complex problem solving around program issues; ability to work independently, and as part of a team; excellent organizational and administrative skills; technical and analytical aptitude.
  • A demonstrated commitment to working effectively with people from diverse populations and the ability to support the development of a welcoming, inclusive campus community.

Preferred Qualifications:

  • Successful experience performing related or similar functions within the University of Minnesota or comparable institution.
  • Demonstrated experience of program logistics in the area of public policy.
  • Professional experience that is related to research, education, and outreach activities, such as: managing programs or projects, coordinating events, providing staff support to stakeholder groups or committees, facilitating meetings, developing and monitoring budgets, and working with multiple teams.
