About the Job

The primary objective for the Administrative Services Manager position is to provide leadership in the operation of the UROC building, support and oversight for operations staff and students, both undergraduate and graduate, with administrative appointments, and to continue UROC's mission-driven work related to internal and external contracts and vendors. The position reports to the Vice Provost for Public Engagement, is expected to take leadership and responsibility for executing the work scope independently as well as work on the part of the UROC directors team overseeing the research and community partnership areas. The position promotes and sustains community-engaged work at UROC and in the community through transparent and thoughtful operation and care of the UROC building and welcomes communities to participate in building activities. The Administrative Manager builds partnerships with local vendors and community organizations to ensure that UROC is part of the neighborhood community.

This is a 100% time, 12-months, annually renewable academic administrative appointment (classification 9341A1, Admin Consultant/Analyst 1).

Essential Job Functions:

  1. This position manages the day-to-day operations of UROC effectively to ensure that the facility is well maintained and meets the needs of the programs located at UROC and the public (40%):
    1. Supervise administrative staff, students and temp casual employees to ensure that UROC is a welcoming environment and to respond to requests for and increase access to university information and/or resources in a timely and professional manner;
    2. Work with Facilities Management to manage the facility by developing budgets with UROC leadership, monitoring expenses, and managing resources through high-quality cost-effective services;
    3. Work with Office of Information Technology and other vendors to ensure that UROC staff and other UROC residents are provided adequate technology support for computers, printers, and network communication;
    4. Work with Classroom Technical Services to ensure that UROC meeting rooms have high-quality and up-to-date audio-visual equipment;
    5. Work with University of Minnesota Police, UROC's security company, and other vendors to ensure safety and security;
    6. Recruit operational staff and purchase goods and service in ways that reflect the diversity of the North Minneapolis community to every extent possible;
    7. Establish and document policies and procedures that guide the work of the administration of UROC;
    8. Provide space and support to university partners who are doing engaged research and outreach work with and through UROC
  2. This position collaborates with the research and community directors and the Vice Provost for Public Engagement with the following duties and expectations (40%)::
    1. Manage the creation of job descriptions, posting of openings, interviews, hiring, documentation, payroll data collection, for each hire related to research and outreach activities;
    2. Recruit, train and supervise student workers assigned administrative roles and projects
    3. Ensure the day-to-day operation of project and progress towards deadlines and deliverables are met or exceeded;
    4. Contribute to the content for staff meetings including preparing agendas and gather/prepare materials as needed;
    5. Develop and manage key documents for and about UROC in the shared drive and paper copies as needed.
  3. This position works closely with the research and outreach directors and the Vice Provost for Public Engagement (20%):
    1. Represent UROC, when needed, to play an active role in internal and external constituencies and coordinating information exchange among UROC programs and partnerships;
    2. Ensure that ongoing projects and the UROC Affiliated Partners process have the administrative support needed;
    3. Draft correspondence, presentations, reports, and other documents as needed related to the operation and administration of UROC;
    4. Contribute to grant writing related to budgets, resources, and timelines

WORK MODE: 100% in person

SALARY RANGE: $75,000-$80,000

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor's degree and six years of professional experience and working knowledge of administrative and operations related work including budgets, human resources, IT, contracts, purchasing, safety preparation, room reservations, and other day-to-day operations of a building
  • Experience working with organizational systems for budgets, HR, IT, etc.
  • Experience working with diverse communities and individuals
  • Experience working within a large and complex system like the University of Minnesota
  • Experience supervising a variety of roles, including employees and student workers
  • Experience working with community partners and organizations
  • Highly organized; demonstrated ability to multi-task, strong time management and excellent problem solving skills
  • Demonstrated experience working both independently and collaboratively
  • Excellent written, verbal, and interpersonal communication skills
  • Proficiency in computer usage including Google Suite (Microsoft Word, Excel, Gmail, PowerPoint, Google Drive, etc.)

PREFERRED QUALIFICATION:

  • 8 years of of professional experience
  • Project Management experience
