Job Description

Cape Fox Facility Services is seeking a Procurement Technician to join our team in Hamilton, MT, in support of the NIH.

  • Assists in the preparation and verification of contracts and associated documentation to prepare a complete contract package.
  • Maintain all purchase order files, both current and closed.
  • Validates receipt of requested items by reviewing packing slips.
  • Research, distribute and file packing slips of orders that have been placed by purchasing agents as they come in.
  • Enters data into automated tracking and reporting systems.
  • Maintain documentation involving computer purchases, including correspondence with the service manager, property custodian, and others in order to facilitate information exchanges.
  • Maintain records of physical equipment inventory and initiate the processes for replenishing the inventories.
  • Establish and maintain electronic and hard copy filing systems related to computer procurements and property inventory.
  • Professionally prepare correspondence and other written materials, including forms relating to procurement and property activities.
  • Professionally and courteously provide excellent customer support, including answering telephone calls and providing general customer service to internal and external inquiries.
  • Assist with obtaining quotes for IT purchases and initiate requests for office and IT-related supplies for government approval.
  • Service as the primary point of contact for RML staff requesting assistance with conference room usage, computer presentations, video conferences, phone teleconferences, and other meetings which may involve IT support.
  • Accurately maintain and optimize electronic and hard copy filing systems related to computer procurements and property inventory.
  • Provide general office support including filing, typing, copying, and faxing documents.
  • Monitor and track the loaner pools of government laptops and cell phones.
  • Maintains invoice reporting logs.
  • Track the status of reports and deliverables; prepare status reports.
  • Resolves invoice problems in coordination with the purchasing agent or contracting officers.
  • Work with purchasing agents on the reconciliation cycle of their purchase cards.
  • Prepares, reformats, and edits statements of work from multiple sources.
  • Maintain records involving all IT acquisitions.
  • Provides information and assistance to program staff on a variety of procurement matters.
  • Work with staff on creating, reviewing, formatting, editing, tracking, and maintaining associated files related to purchases, i.e., acquisition packages, contract files, etc.
  • Performs quality assurance on data related to procurements.
