Your Role
As an Administrative Assistant in our vibrant San Francisco office, you'll be supporting Regional Community Leaders from an administrative perspective. You will leverage your administrative, event planning, and logistics coordinating skills in this exciting role. You should be well organized, thoughtful, detail and service oriented. Additionally, you will be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic environment.
What You Will Do
Provide comprehensive administrative support to four key Community Leaders: Regional Client Relationship Leaders, Regional Design Synergy Leader, and Regional Practice Area Leader. This includes managing calendars, scheduling meetings, handling correspondence, expense reports, travel coordination and other administrative tasks.
Exercise discretion and professionalism in handling incoming and outgoing communications, prioritizing time-sensitive tasks.
Cultivate and maintain strong relationships with clients, staff, and peers, staying attuned to relevant client information.
Prepare a variety of documents, reports, and presentations for leadership, ensuring accuracy and professionalism at all times.
Engage actively in the regional and office culture, contributing to a positive and collaborative work environment.
Assist in organizing and executing large-scale conference calls, meetings, and retreats.
Create and update graphic presentations, as well as maintain organizational charts specific to the region.
Contribute to internal and external research initiatives.
Your Qualifications
Minimum of 5+ years of experience in an administrative role.
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Proficiency in Microsoft Office, Salesforce, Tableau, and Adobe InDesign.
Professional demeanor with the ability to remain composed under pressure.
Strong understanding of discretion and the importance of confidentiality.
Proven ability to work independently, demonstrating initiative, planning, and problem-solving skills.
Exceptional time-management and prioritization abilities.
Positive attitude, coupled with excellent organizational skills and attention to detail.
Outstanding verbal and written communication skills.
Exceptional relationship-building skills, with the ability to interact professionally with colleagues, clients, and vendors.
Experience managing multiple calendars in Outlook and coordinating complex schedules.
Flexibility to work overtime as needed to meet project deadlines and support team initiatives.

**The base salary range will be estimated between $78,000 - $96,000 annually plus bonuses and benefits and contingent on relevant experience.
