Job Objective(s)

Working in a collaborative environment, show and lease rental units to prospective residents and assist and support the Community Manager in the marketing of the community.

Qualifications

  • High School Diploma or equivalent required.
  • Able to read, write, spell, perform basic math and speak and understand English.
  • Able to work with frequent interruptions.
  • Knowledge of office practices, procedures, systems and equipment including, but not limited to, Microsoft applications Word, Outlook and Excel.
  • Good interpersonal skills including the ability to communicate clearly and effectively.
  • Sensitivity while interacting with diverse groups of people.
  • The ability to self-motivate and work independently in the pursuit of personal and team goals.
  • Commitment to protect personal, property and other confidential information.
  • Possess the ability to interact tactfully with residents, staff, owners, other management personnel, corporate representatives, vendors and the general public.
  • Understand and adhere to organizational policies and procedures.
  • Maintain a neat, well-groomed and professional appearance.


Essential Responsibilities

Leasing

  • At all times, utilize Fair Housing standards and practices as defined by state and federal law.
  • Insure that an adequate supply of printed leasing materials and, if available, promotional give-a-ways, is/are available to be given to prospective residents.
  • Maintain up-to-date knowledge of the project's rental criteria, unit availability, features and benefits, market rents and current leasing specials.
  • Maintain current knowledge of the property's competitor's rental criteria, unit availability features and benefits, market rents and current leasing specials.
  • Prepares all advertising and outreach materials with assistance from Community Manager.
  • Respond to inquiries regarding unit availability and property information while creating excitement for, and encouraging the prospect to schedule, an appointment to visit the property.
  • Maintain current prospect and leasing data on the property's guest card and in its property management system.
  • Update and maintain weekly occupancy reports and Executive Summaries.
  • Ascertain the prospective resident's needs, wants and financial parameters with regard to housing and conduct leasing tours of units which meet those needs, wants and financial parameters.
  • Encourage prospective residents to complete the project's rental application and submit a security deposit to "hold" a specific apartment. Communicates with applicants by completing cancel, deny letters, to be set the same day.
  • Submit prospect's application to the community's screening company and presents results to Community Manager as required.
  • Perform daily follow-up of clients, leads and files
  • Prepare lease-related paperwork in an accurate and timely manner and obtain the signature of the Community Manager and the resident on the Residential Lease.
  • Review with new residents all lease related documents including, but not limited to, the Residential Lease, addenda and Rules and Regulations and, with the new resident, conduct a formal move-in inspection and home orientation.
  • Ensures quality of cleanliness of all vacant units and common areas.

Marketing

  • Assists in coordination of marketing activities designed to expose the property to the local community.
  • Collect competitors marketing and leasing information, specials, and occupancy/preleased information.
  • Update on-line listings daily or as needed.
  • Update and Coordinate Social Media networking and advertising.
  • Perform all other duties as assigned.

Resident Retention

  • Contact residents after work order completion for satisfaction check.
  • Assist Community Manager in coordinating the annual survey, move in survey, and pre-renewal survey.
  • Create and distribute monthly resident news letter
  • Coordinate resident events.
  • Call and Email residents randomly for satisfaction check.
