Position overview

CWT Customer Care is seeking for a Global Bid Manager.

The objective of this role is to ensure consistency and professionalism on the preparation and production of high-quality bid responses that reflect CWT's position as a global leader specializing in business travel oversight. The global bid manager is responsible and accountable for the co-ordination of each stage of the RFP process and for the optimization of the bid process and deliverable.

Position Description

  • Perform individual full review of client bid documentation to identify project timelines, submission guidelines, client objectives, evaluation criteria, key requirements (identifying red flag items/out of standard scope), composition of tender documents, assessment of bid questions (standard/strategic/SME/attachment file)
  • Create core project team of internal stakeholders, including representation from Commercial Finance (global/regional), Solutions Engineering, others as appropriate
  • Setup kick-off call for every bid. Invite core bid team + key stakeholders/business partners, lead meeting, record all action items and communicate these post-meeting.
  • Perform bid outlining with Engagement Manager/Writer. Initiate meeting, perform joint categorization of questions (standard/strategic/SME/attachments), and agree division of tasks together.
  • Build and maintain Buzz project space (if deemed of value on a per-project basis)
  • Create and maintain a customized project plan. Agree key internal milestones in collaboration with the Engagement Manager/Writer and other key project stakeholders. Communicate project planning regularly, ensure agreed internal milestones and client deadlines issued are respected.
  • Setup all draft review sessions and calls/meetings with stakeholders/SME's (Solutions Engineering, Commercial Finance, Legal, etc.) as appropriate to facilitate an efficient and well managed bid production process.
  • Management of all SME enquires and regional/country requests
  • Maintain a tracking list detailing the ongoing status of each project component (component owner, SME, format, due date)
  • Communicate regular project status updates to all bid stakeholders, summarizing current state of play, status of all major bid deliverables, critical/red-flag items, project next steps
  • Arrangement and leadership of meetings throughout bid timelines to facilitate the bid production process - in line with project plan and stakeholder needs
  • Project management oversight and control of Graphic Design engagement in collaboration with Engagement Manager/Writer + opportunity owner. Ensuring defined process is followed in the completion and submission of Design Request Form.
Strategy Development
  • Perform review of Strategy to Win/Retain and in collaboration with the Engagement Manager/Writer, provide feedback (as appropriate) to Sales/Program Management lead
  • Work in partnership with the Engagement Manager/Writer to ensure win themes/key strategy messages are incorporated into bid response and Executive Summary
  • Work in partnership with Engagement Manager/Writer to reinforce the need for Sales/Program Management lead to provide direction during bid development process. Work to ensure directions and next steps are clearly communicated to stakeholders
Response Development & Finalization
  • Work in close collaboration with Engagement Manager/Writer to develop bid response
  • Ensure the production of the drafts is in line with the bid planning schedule for effective review by core bid team
  • Take responsibility for the creation and finalization of attachment files
  • Ensure proofreading review of bid response takes place on every bid.
  • Ensuring bid response is validated as required in advance of submission
Post-Submission
  • Bid management of follow-up client clarification questions with core project team
  • Management of the production/printing/distribution of materials for presentations
  • Organizing a debrief session with appropriate stakeholders (e.g. core project team, GCO leadership, key contributors) identifying lessons learnt, opportunities for improvements.
  • Managing post bid knowledge capture activities in collaboration with Engagement Manager/Writer, in line with Bid Content Solutions team processes.
  • Complete Field Assessment Survey in collaboration with Engagement Manager/Writer
  • Identifying quality improvements, opportunities for efficiency in the bid process
  • Contributing to continual improvement of the quality of bid responses the team produces

Position Requirements

Experience & education:

  • Experience
    • Five plus years of working in a matrixed organization
    • University degree preferred but not mandatory
    • Project Management experience
    • Database look up familiarity
  • Languages
    • English fluent
    • Abilities to deal with a multicultural and matrix environment
    • Spanish/French would be a plus
