Job Summary:

As the Sr. Administrative Coordinator at PICS (Partners In Community Supports), you will support various departments with complex administrative tasks focusing on quality and efficiency to ensure a smooth workflow. The Sr. Administrative Coordinator will manage inbound calls, monitor assigned email accounts to respond to internal and external requests, enter invoices, handle outgoing mail requests, scan and distribute incoming mail, and provide project support. Sr. Administrative Coordinator will also be required to coordinate daily operational activities that align with operational policies and procedures and develop and maintain good relationships with cross-functional teams, other LSS lines of service, PICS vendors, and community partners. To be successful in this role, the candidate should possess strong listening, verbal, and written communication skills, excellent organizational and time management skills, and critical thinking and problem-solving skills are essential.

This position may have the option of hybrid work, which will be based on business needs and supervisory discretion.

Qualifications and Requirements:

  • A high school diploma (or equivalent GED) is required.
  • Associate or bachelor's degree in office management or administration or related field and/or years of experience, which can include lived experience that is applicable to the job and performance.
  • Administrative experience in a small to mid-size organization.
  • Bi-lingual (i.e., English with Spanish, or Somali, or Hmong, etc.) is preferred.
  • Proficiency in Microsoft Office applications - Word, Excel, Outlook, PowerPoint, and SharePoint.
  • Familiarity with Microsoft Teams or similar collaboration software.
  • Able to communicate effectively using phone, email, or in-person.
  • Strong interpersonal qualities; adept at establishing and maintaining good rapport and collaborative working relationships with all organizational levels.
  • Ability to follow and interpret written and oral instructions - using analytical thinking when prioritizing work.
  • Excellent organizational and multitasking abilities.
  • Able to respond to frequent interruptions throughout the workday.
  • Attention to detail and the ability to work with a high degree of accuracy.
  • Ability to simultaneously manage multiple projects and assignments in a timely matter.
  • Welcomes and expects change and desires to work in a fast-paced, efficient, high-performing environment.
  • Proven ability to quickly learn and adapt to new technology.
  • Ability to work collaboratively in a team-oriented environment.
  • An ability to take initiative, be self-motivated, and solve problems.
  • Familiarity with HIPAA and client confidentiality is preferred.
  • Experience preparing mail and related equipment (postage machine, envelope inserter).
  • Exceptional planning and organizational skills with a quality focus, attention to detail, and proactivity with ideas and recommendations for productivity and efficiency.
